Stock that can only be promised once
Confirmed reservations, checked-out equipment and scheduled maintenance reduce available stock. RentRail checks the maximum quantity in use during the requested dates, including buffers. If a request exceeds stock, confirmation is blocked and the conflicting records are shown. Overdue checked-out equipment stays unavailable until you check it in.
From a quote to a returned rental
Build a quote, review its prices and deposit, then confirm it when the customer is ready. Quotes do not reserve stock. Record checkout, return, cancellation and payments separately. Export a PDF quote or invoice and open it in your PDF reader to print. Payments are records only; use your own card terminal or payment service.
Your schedule, with room to breathe
Month and week calendars show pickups, returns and maintenance. Move confirmed reservations by dragging or by choosing a new date. Every move checks availability again and preserves the agreed rental price.
Keep equipment ready
Set service intervals, review upcoming inspections, keep service notes and reserve quantities for maintenance. RentRail checks maintenance blocks against reservations.
Know what is working
Review collected payments, monthly collection totals, category utilization, top earning equipment and items with no recent rentals. Export the booking ledger as CSV.
