RentRail privacy policy

Effective October 24, 2026. This policy covers the RentRail Windows application and this product website, published by WD DIGI.

Your rental records stay on your PC

RentRail stores inventory, item photos, customer contact details, booking dates, service notes, quotes, invoice totals and payment records in a local SQLite database and local files. It does not create a RentRail account, sync your records to our servers or include application telemetry. Payment records do not contain card numbers and RentRail does not process payments.

Storage and backups

App files are kept under your Windows local application data, in WD DIGI/RentRail, subject to Windows package storage redirection. Backups go to the folder you choose. Local records and backup databases are not encrypted by RentRail. Protect them with Windows account security, device encryption and secure backup storage. Export a backup before uninstalling or replacing this PC.

Optional email

Email is off by default. If you enable it, RentRail sends the messages you approve through the SMTP provider you configure. A reminder includes customer names, email addresses, booking numbers and rental dates. Your provider and the recipient process those messages under their own policies. SMTP passwords are stored in Windows Credential Manager; other email settings are stored locally. Turning email off stops RentRail from sending messages.

Microsoft Store licensing

The packaged application uses Microsoft Store licensing to check whether the RentRail Pro add-on is active. Microsoft may process account, device, purchase and license information under its privacy statement. RentRail does not receive your Microsoft account password or card details. A license check can use Microsoft services even when RentRail email is disabled.

Support and diagnostics

The Feedback and support button opens the WD DIGI support website in your browser. Information you submit there, such as your reply email and message, is processed under that website's privacy policy. App errors are recorded locally. Logs are not uploaded automatically; review any file before attaching it to a support request. Do not send customer databases or SMTP passwords.

This website

This site uses Cloudflare hosting. Cloudflare processes request information, including IP addresses and browser details, for delivery and security, and may provide aggregate website traffic statistics. We do not embed advertising trackers on these pages. External links open services with their own privacy practices.

Your choices

You can use the Free plan indefinitely within its capacity limits, view and edit existing records, export booking records, create a database backup, disable email and remove local files. Deleting a local record or backup does not delete copies you previously exported or emails already delivered. For privacy questions, use the WD DIGI support form and name RentRail.
