RENTRAIL / WD DIGI

Getting started with RentRail

1. Start with your shop

Open Settings and enter your business name, invoice details, currency, default tax and deposit. Tax rates and document requirements depend on your business; review them before issuing an invoice.

2. Add the things you rent

Open Inventory and choose Add item. Enter a name, category, quantity and rates. Use a single item for interchangeable bulk stock, such as 120 folding chairs. Use separate records for equipment with individual serial numbers. Add cleaning and preparation days when needed.

3. Add a customer

Save the customer name and optional contact details. Keep notes that help your team serve the customer. You can block future confirmations for a customer while retaining their rental history.

4. Make the first booking

Choose New booking. Select the customer, dates and quantities. Review availability, tax, deposit and discount. Save a quote if the customer has not committed, or confirm to reserve the stock. Pickup and return dates are inclusive.

5. Close the loop

Open a booking to check equipment out, record payments and check all items back in. Record a return only after you have received the equipment. A confirmed rental can be cancelled; completed records remain available for reference.

6. Protect your records

Choose a backup folder on another drive in Settings. RentRail makes a backup when opened on a new day and retains 14 daily copies. Make a manual backup before reinstalling Windows, switching PCs or uninstalling RentRail. Store backup copies securely: the database is not encrypted.
